GroupWise Archive Instructions


To archive mail:

First, make sure that an archive directory is setup.

In GroupWise go to Tools > Options.



Click on Environment.



Click on the File Location Tab and make sure the archive directory is setup as shown below. Alternate Locations are acceptable, such as under a user's profile.

Example: C:\Documents and Settings\username\archive\



Next, Click on the Cleanup tab as shown below.

The example above is for users who wish to manually archive, Click OK.



If you wish to Auto-archive, set the number of days you wish to keep items in your regular mailbox, prior to archiving, and then click OK, as shown below.



When you click OK, you may receive one or more messages similar to the one below, Click Yes.



Click Close.

If you are set on Auto-archive, mail will start archiving automatically on it's own. Depending on how much mail is involved, it could take from an hour to a couple of days.



The instructions below will guide you to manually archive your email.

Open your GroupWise Mailbox.

Highlight the email(s) you wish to archive. You can highlight several emails by holding down your Ctrl Key, and Clicking on the individual emails you wish to archive.

Right Click on one of the highlighted emails, and Click on Move to Archive as shown below.

You may continue to do this until all the email you want to move to your archive is moved.


If you wish to move several pages of email at once, follow the directions above, except that you use the shift key instead of the Ctrl key.

You highlight the first email you wish to archive, then scroll down to the last email you wish to archive, press and hold the Shift key, and click on the last email.

You may then Right click as in the instructions above and click on Move to Archive. You may experience a greater delay as the more you try to archive at once.

It is generally a better idea to archive smaller amounts of email (such as a single page) at one time.


Any folders in your Cabinet will be created automatically in your archive.



Viewing Your Archive

To view your archive in GroupWise, Click on File, and Check Open Archive.



You can tell that you are in the archive if you look on the left hand side of the screen, it will say Archive just above your folder list.

You can also switch back and forth between your archive and regular mailbox by clicking on the pull down arrow next to where it says Archive (it will say On-Line when you are in your regular mailbox).
